As a channel partner, IT professional or business owner, you’ve spent a lot of time thinking about the right VoIP PBX for your situation. You understand how the VoIP PBX functions, the feature set, voice prioritization on your network, and QoS on your LAN and WAN.

You are the expert. Whether you like it or not, you are the one with the deep (or best) understanding of how the entire systems fit together within the operation.

Your users, however, do not. They’ve never been in a telco closet, run cabling or been involved in the planning of a new phone system deployment.

Most often, all a VoIP PBX system user sees of the system is the phone that sits atop their desk. Which can cause trouble for you, the expert, because oftentimes disappointment with handsets becomes disappointment with the VoIP PBX system.

This makes it crucial that your every day system end users have the right VoIP Phone.

Luckily, with the S-Series from Yeastar, you can choose from a wide variety of VoIP phones from industry leader Yealink. Yealink has been a leading manufacturer and long-standing partner of Yeastar for a decade, providing innovative VoIP phones for customers across the globe.

Thanks to this long standing partnership, all S-Series VoIP PBX systems work with Yealink’s VoIP phones, with configuration available directly from the Yeastar S-Series interface. This makes set-up and use, amazingly easy.

Let’s take a look at your options.

For Normal Phone Users

There might be some range in what a “normal” user requires, but in general we’re talking about the folks in accounting, engineering, marketing and even sales.

These users often only require the basic phone features, since their day is not always dominated by telephone calls.

This means that you don’t need to spend a lot (unless you want to) on these VoIP phones, so for less than $100, you can outfit each desktop with a:

Oh, and don’t let the price fool you, these phones are built to last, just like the Yeastar S-Series.

For Managers or Executives

Getting the right VoIP phone for a manager or executive is often more about fit and finish than features and functions.

Many managers and executives, especially as they rise in ranking, prefer higher-end VoIP phones, often with color and or touchscreens.

The S-Series supports the Yealink SIP-T29G and SIP-T48G, which offer sleek designs and all the bells and whistles you could want. They also come with goodies that every manager or executive wants – HD audio and a speakerphone.

For Receptionists and Secretaries

Receptionists and secretaries, outside of call center workers, get the highest volume of calls.

This makes their needs in a VoIP phone specific to easily managing a large amount of calls. In order to handle this heavy load, Yealink offers the SIP-T46G with an EXP expansion sidecar that gives a receptionist or secretary up to 120 line appearances.

If you’re not dealing with these many calls, the SIP-T27P with the EXP39 expansion sidecar offers a more economical solution, with less total line appearances.

For Other Areas of the Office

Many forget about common areas and the kitchen when deploying a VoIP PBX, but you shouldn’t! Yeastar offers the SIP-T19P E2that’s a perfect fit for these areas.

While not as important as other types of VoIP phones, you should consider equipping your office, especially if it’s larger, with a few additional phones for convenience. You never want to miss a call!

Remember, each of these options are fully compatible with the Yeastar S-Series. This gives you – the channel partner, IT pro or business owner – the confidence of knowing they work out of the box with only basic set-up required.

Plus, when combined with a Yeastar VoIP gateway for PSTN connectivity, gives you a complete VoIP PBX system solution for small and medium sized organizations, making it easier than ever before to deploy a solution.

How Flexible, Modular Phone System Designs Help Growing Businesses

Yeastar’s flexible phone system design provides you with telephony connection modules that can be customized to the specific way your dial tone is delivered.

One of the best ways to future-proof your phone system is with the brand new S-Series VoIP PBX.

For starters, the S-Series has the latest technology including Texas Instruments Voice Processors, Freescale ARM A9 industrial grade Quad Core CPU, increased RAM, and Samsung Flash Memory.

Add in the S-Series’ dramatic feature enhancements, vastly improved UI, powerful new apps, and upgradable modules combined with aggressive pricing for dealers and their customers, you have an affordable phone system that will scale with growth for years to come.

The S-Series uses easy to install color coded modules that allow you to upgrade a variety of features and functionality including the number of SIP users, concurrent call capacity, and type of telephony connection (FXO, FXS, SIP, ISDN BRI, E1/T1/PRI, GSM/CDMA/3G/UTMS).

Two of the S-Series PBX’s, the S100 and S300, also allow you to scale the total number of registered extensions.

The S100 and S300 support two different expansion boards:

  • EX08 Expansion Board: Includes 4 module slots and 8 interfaces
  • EX30 Expansion Board: Includes 1 E1/T1/PRI port

A small investment in a modular phone system like the S-Series sets you up for future needs, making “rip and replace” a thing of the past, and allowing you to make upgrades whenever you need to.

Interchangeable modular slots on our business class Hybrid PBX N412 come with 8 pre-configured FXS ports and it is customizable with 4 additional module slots.

The N412’s module slots give you the flexibility and choice of a combination of FXS, FXO and BRI interfaces.

The major benefit of Yeastar’s modular design is cost .

Buyers of Yeastar module PBX’s won’t have to buy a new PBX every time they need to add users, connect analog phones, add a fax machine, connect a GSM channel, or add PSTN fallback capabilities.

You can’t always predict what direction your business will take you but you can always rely on your Yeastar PBX to grow and adapt as your needs change.

Why You Need a Modular Phone System

Dealers of telephony equipment now have an affordable, flexible option, that allows their customers the latest productivity features and the ability to connect their PBX regardless of their choice of telephony connection.

Consider these flexible options:

  • Rural Areas: Are you in a rural area with poor internet, and high PSTN costs? No problem, implement the GSM/Cellular functionality.
  • Outgrowing RJ11 Lines: Are you outgrowing their old RJ11 lines? Great! Add SIP trunks from a wide range of supported providers, some of whom offer dealer programs of their own.

Yeastar modular phone systems put choice back into the customer’s hands.

No longer are dealers forced to accept skimpy margins from selling hosted service, while driving up their customer’s overall phone bill.

As a dealer, you won’t have to sell an overpriced PBX to your customer only because they need a certain “advanced” feature, or when a hosted solution isn’t an option.

The Yeastar module phone system options provide a huge win for growing companies that rely on their phone system to drive business with enhanced communications.

Mobile Connected GSM IP PBXs Lower Telephony Costs

For channel partners and businesses, the thought of using GSM connectivity to send and receive calls from their IP PBX might seem a little odd. After all, GSM networks are typically referred to when speaking about cellular networks and at that, many still do not know about GSM as a technology.

Yet today, channel partners and businesses around the globe are leveraging GSM connectivity in order to reduce costs, stay live during disaster situations and empower communications for those far off the beaten path.

So What is GSM, CDMA, or 3G, 4G, and LTE?

GSM (Global System for Mobile communications) is a standard developed by the European Telecommunications Standards Institute (ETSI) to describe protocols for second-generation (2G) digital cellular networks, supporting 2G features with voice and data services (GPRS and EDGE) with data transfer rates up to 500 kbps. It is the most popular technology across the world. The most used frequency spectrum, 900 MHz and 1800 MHz. Just install GSM module inside the Yeastar S-Series VoIP PBX, you can also utilize the GSM features.

CDMA (Code Division Multiple Access) can be said as the counterpart of GSM 2G, only it uses a different technology than GSM. It is a digital technology for transmitting data. It is a general technology utilized through various standards. The frequency spectrum used in this technology are 800 MHz and 1900 MHz. Yeastar S-Series VoIP PBX also support CDMA module for you to terminate CDMA network.

UMTS is based on the WCDMA technology. So WCDMA (Wideband CDMA) and UMTS (Universal Mobile Telecommunications System) are used interchangeably these days. They are third generation wireless network technology which allows speeds of up to 2Mbps. Both these technologies are essentially 3G technologies, providing voice and data services at a higher data rate than the traditional 2G. UMTS voice call is also available when you install UMTS module in the Yeastar S-Series VoIP PBX.

The SIM slots supporting GSM services do not support CDMA because both use different technology for communications, and similarly vice-versa. However, 3G SIM slots are backward compatible, means they support the 2G too. And similarly the 4G-LTE are also backward compatible.

All S-Series phone systems in the Yeastar lineup support at least 1 cellular port (up to 6 depending on the model).  Each cellular port can be equipped with a GSM/CDMA/UMTS module, which allows for calls to carriers using that frequency.

Why Connect an IP PBX to a Celluar GSM Network?

  1. Versatility:

The versatility that the Yeastar S-Series IP PBX brings with GSM allows for connectivity in almost every situation, enabling routing between IP, digital, analog and GSM networks.

This allows partners, and customers using the Yeastar S-Series PBX’s an opportunity to reduce costs and improve the quality of their voice service by having a greater degree of choice about how they are going to obtain their dial tone.

Connecting the S-Series VoIP PBX to GSM network,  users can also enjoy the powerful SMS feature (email to SMS and SMS to email), that is, users will receive the SMS message in their emails through the GSM trunk number and also can send SMS to mobile phone number via email which greatly ensures the continuous contact with customers and business partners.

  1. Cost Savings:

This allows users to leverage same mobile carrier to mobile carrier free calling plans, and use LCR (Least Cost Routing) which checks the DID (phone number) dialed, checks the routing table, and selects calls to be routed out via the GSM network on the S-Series cellular ports in situations where GSM presents the least expensive, best alternative to route your calls.

  1. Ease of Use:

A fresh, snappy GUI (Graphical User Interface) enables partners and customers of the Yeastar S-Series PBX’s an intuitive way to register the GSM providers connection, create an extension on the PBX, activate an endpoint, configure inbound and outbound routing rules, and get call traffic traveling over GSM.

Businesses and phone system installers that suffer from poor connection quality, or are completely out of their local ITSP/PSTN/VoIP providers footprint, need look no further to solve their problems and enjoy the benefits of a carefully designed, modern Yeastar phone system.

The all new S-Series phone systems benefit organizations who are looking for the versatility and affordability of GSM network, while providing an alternative to users who are unable to obtain other phone service.

It can be a challenge to connect all of your employees when they don’t all work under the same roof.

How do you keep everyone synchronized with efficient communication when you have several office locations, have traveling salespeople, you’re attending trade shows, and have team members that work from home?

Yeastar IP PBXs offer remote office connectivity and mobility features for your road warriors and off-site employees.

Remote Office Connectivity Options

Thanks to the internet, work is less about place and more about access.

Connecting remote offices and the growing number of work from home employees can be done both efficiently and cost-effectively with Yeastar phone systems.

Yeastar PBXs make it simple to combine multiple types of dial tone via the good old PSTN (public switched telephone network), SIP trunks (with automatic provisioning for Yeastar supported SIP trunk partners), a digital PRI/T1 connection, P2P mode.

When multiple remote Yeastar PBXs are connected you can enjoy:

  • Free inter-office calls
  • Shared trunks among multiple locations
  • Lower costs
  • Increased flexibility and employee productivity

Yeastar PBXs can be linked together via IAX trunking, SIP trunking, private IP, or LAN. Here’s a sample application of two Yeastar S-Series VoIP PBX in different locations, connected to each other:

Mobility Features for Road Warriors

Businesses with employees that travel need unified communication (UC) solutions to allow their employees to stay productive while working on the road.

Yeastar PBXs recognize smartphones and softphones as extensions on the PBX so that users can easily access their company’s phone system wherever they are and on whichever device they’re using.

This also means that you’re always connected. Any incoming call to your office extension can be automatically forwarded to a cell phone, or routed to multiple end points that you are associated with to “find you”, for example.

Yeastar mobility features provide the ability to:

  • Make and receive calls by smartphones and softphones as an internal extension.
  • Seamlessly route calls between office desk phones to smartphones.
  • Control via mobile client if/when calls are transferred to smartphones including option to turn off business calls when needed.
  • Access important business files remotely like call detail records (CDR), voicemail and voice messages, from anywhere in the world.

After months of development, the Yeastar S-Series PBX Firmware 30.1.0.7 is now available. This update introduces changes that improve our ability to a number of useful new features and squash pesky bugs, since firmware release 30.0.0.40.

Here is an overview of the changes brought by Yeastar S-Series PBX Firmware 30.1.0.7:

NEW FEATURES

  • New App Conference Panel.

One of the most noticeable changes we made in the new firmware is the new app. Enter App Center, you will find the new App Conference Panel. This Conference Panel could realize all conference management based on Web. You can initiate and administrate a conference on Web.

  • SLA feature.

Path: Settings > PBX > Call Control > SLA
The Shared Line Appearance (SLA) feature helps users share VoIP trunks and FXO trunks. It also helps monitor the status of the shared line. When an outgoing call is made by the user, all members in the SLA group are informed about the call and will be blocked from this line appearance until the line goes back to idle state or the call is put on hold. When an incoming call is received, all the members are informed of it and may join it depending on the line appearance linked with the SLA extension.

  • New network mode “Single”.

Path: Settings > System > Network > Basic Settings
If you choose Single mode, only LAN port will be used for uplink connection. WAN port is disabled. The default network mode is Single.

  • Notifications on taskbar.

On the upper-right corner, you can see the new added Notification icon and Recourse Monitor icon. Click taskbar-click to check news and alerts, click taskbar-click2 to check the PBX information, network status and storage status.

taskbar

  • Web alert when the PBX power is off or the PBX is off-line.

If the PBX power is off or any problem of the system network, a dialog will display on the webpage to inform you.

  • Added SIP “Jitter Buffer” settings.

Path: Settings > PBX > General > SIP > Jitter Buffer
Jitter is the variation in the time between packets arriving on a VoIP system. These variations can be caused by network congestion, timing drift or route changes. Jitter buffers are used to counter delay or latency, dropped packets, and jitter. They temporarily store arriving packets to minimize jitter and discard packets that arrive too late.
Configure the Jitter Buffer settings on S-Series PBX will improve the call quality through VoIP.

  • Support for importing and exporting extensions.

Path: Settings > PBX > Extensions
You can export an extension file from the PBX and use it as a sample to start with. The file format is csv.

importing and exporting

  • Support for the following Tone Regions: Turkey, Korea, Serbia, Panama.

Path: Settings > PBX > General > Preferences
We add the new support for the tong regions including Turkey, Korea, Serbia, Panama. Users can select the tone region according to the S-Series PBX location.

  • Support for Spanish Web User Interface language.

Users can switch the web language to Spanish.

  • Conference status on PBX Monitor panel.

BUG FIXES

  • Fixed the DNS SRV Lookup issue: if the DNS SRV analysis result was a domain, a VoIP trunk registered using the domain would not work.
  • Fixed VoIP Trunk issue: if entering an IP address in the “Hostname/IP” field and entering a domain in the “Domain” field, the trunk could not be registered.
  • Fixed the queue ring strategy issue: if a queue agent has registered his own extension number on multiple phones, incoming calls could only reach one of the agent’s phones.
  • Fixed the compatibility issue with VoIP provider netelip.
  • Fixed the issue that sending email to SMS would fail if the content exceeded the length limit.
  • Fixed the issue that the system would automatically make outbound calls through FXO trunks.
  • Fixed the Event Center issue: WAN port failure was not recorded in the event logs.
  • Fixed the dual mode network issue: if one Ethernet port used VLAN, the other Ethernet port could not work properly.
  • Fixed the IE11 compatibility issue: users could not play recording files on PBX web GUI.
  • Fixed the Holiday issue: the holiday worked based on Time Zone GMT +0.
  • Fixed the E1 trunk issue: the call quality was bad when using the E1 trunk.
  • Fixed the Event Center issue: the event center repeatedly recorded SIP trunk registration failure.
  • Fixed the Call Log issue: if you configured DOD numbers on a SIP trunk, and made outbound calls through the SIP trunk, the “Call From” value would be wrong in call logs.

One of the major difference between MyPBX U-Series and the new S-Series, is the App Center. We built the App Center independent from the main framework of the system, to make the installation and management of Apps easy and flexible. In most cases, when you need a new App or an upgrade of the App, you can just operate on the App Center without worrying about the firmware version.

The S-Series App Center gives user easy access to a wealth of S-Series Apps that extend features when needed. As an integral part of the S-Series Web interface, the App Center allows you to install, upgrade, and manage Apps designed for S-Series PBX.

As of Firmware 30.1.0.7, we have included 4 free Apps in the S-Series.

  • LDAP Server

It’s a new feature in S-Series PBX, it makes phone book management easy with centralized phone book management.

  • Auto Provisioning

As an important feature, it’s now an App in S-Series. It helps to provision a large amount of IP phones or gateways. All user information, local phone book, firmware and so on can be configured.

  • Conference Panel

A new feature in Firmware 30.1.0.7. It is a visual control panel for your conference calls. You can batch invite people with the dial-out feature in the panel or use your telephone. You can also save all the attendees’ contact to the “Contact Group” so you can reuse it next time.

  • PBX Center

It delivers a quick update for all functionalities under PBX, CDR Recording, and PBX Monitor.

The good news is that, in the future release, the pupular add-ons on U-Series will be added to S-Series as Apps.

Auto Provisioning on the Yeastar S-Series VoIP PBX

The S-Series PBX offers many time saving advantages to dealers: an enhanced administrator interface that allows for quick and obvious settings and configuration changes and software enhancements that streamline installation and maintenance tasks like auto-provisioning.

Why We Put the “Auto” in Auto-Provisioning

Back in the day, all VoIP PBX and handset provisioning was done manually unless it was a proprietary system (in which case the end customer probably didn’t care about money, as these were normally too expensive for the average small business).

Many early VoIP resellers were installing the latest distribution of asterisk, or the latest GUI’d up version of Asterisk which were not exactly plug-and-play like the Yeastar S-Series.

It wasn’t uncommon to spend an entire weekend setting up a small office due in large part to the tedious labor of provisioning each phone. This also made management of the phones almost impossible, as it was often the case that certain models of phones (even from the same manufacturer) were provisioned differently.

And with each add, move, or change, the process became longer, more tedious, and less manageable making it difficult to quickly diagnose and isolate issues, let alone do basic things like changing an extension.

All the Boxes Are on the Floor

Yeastar has brought system provisioning – including handset configuration – a long way since the early days of VoIP.

Although nearly any VoIP phone could be configured manually by browsing to its IP Address, and using the phone’s web interface, this leads to an increase in cost due to the time associated with entering in all that data as you scurry from cubicle to office logging into each of the users phones. Not to mention the delays and other issues caused by data entry errors.

With Yeastar, manually configuration is now a thing of the past. Today, once you’re at the customer’s office and you have your new S-Series phone system in hand, the hardest part of setting up the phones is the unboxing!

Yeastar phone systems have always been known for their support of a wide range of VoIP Phone manufacturers. We foster these manufacturer relationships to encourage their participation with the goal of ensuring a smooth, and simple deployment for phone system installers and their customers.

Get Out the Door Quickly

Yeastar Auto-Provisioning allows users to avoid stress and reduce the time of configuring supported and certified endpoints.

S-Series Auto-Provisioning automatically registers phones to the PBX and allows you to configure them within the web interface of the S-Series to change things like passwords and extensions, and any associated user or group settings.

Provided that you have the phone’s MAC address, auto-provisioning can be done from within the web interface. You no longer need to be present in the customer’s office to make these changes, as you can access the phone system with your administrator credentials from any secure internet connection.

Once the phone is plugged into the network and the IP address for the phone registers in the PBX by MAC address, the network will do a handshake allowing the S-Series to provision the phone and give it an extension.

Currently the S-Series supports auto-provisioning on:

Yealink IP Phones: T19P-E2, T21P-E2, T23G, T23P, T27G, T29G, T40P, T41P, T42G, T46G, T48G, T49G, W52P, W56P

Snom IP Phones: 320, 710, 715, 720, 760, 765, D305, D315, D345, D375

Grandstream IP Phones: GXP1100, GXP1105, GXP1160, GXP1165, GXP1400, GXP1405GXP1450, GXP1610, GXP1620, GXP1625, GXP1628, GXP1630, GXP2130, GXP2135, GXP2140, GXP2160, GXP2170, GXP2200, GXV3240, GXV3245

Fanvil IP Phones: C01, C400, C58/C58P, C600, X3/X3P/X3SP, X5/X5G

Htek IP Phones: UC802, UC803, UC804, UC806, UC840, UC842, UC860, UC862, UC924, UC926

Tiptel IP Phones: 3010, 3020, 3030, 3110, 3120, 3130, 3210, 3220, 3230, 3235, 3240, 3245, 3275, 3220XL

In the meantime, manual configuration of just about any unlocked SIP phone is achievable. Auto provisioning for Polycom, Cisco, Panasonic, Alcatel-Business will be announced in the near future.  Throughout the next quarter look for us to increase the list of supported manufacturers.

What the Failed Polycom Mitel Merger Teaches Us about Flexible, Modular Hardware

$

With the investor tech trend of 2015 picking up momentum for 2016 and consolidations in full swing, the big telecom news of Q4 2015 was the acquisition of Polycom by Mitel, which seemed like a done deal.

Both companies have a demonstrated track record of growth and success in very similar fields: unified communications and telecommunications. On the surface the merger made plenty of sense.

The deal didn’t happen and was called off, for better or worse. There are many valid reasons for what eventually happened. Polycom rejected the Mitel deal and instead took an offer from Siris Capital that allows Polycom to remain more independent.

These were two massively successful companies who just couldn’t make it work. One of the lessons to take away from all of this is reminiscent of one of Aesop’s Fables, The Man and His Two Sweethearts, where the moral of the story was “those who seek to please everybody will please nobody.”

Part of the hope for this merger, from and end-user perspective, was that both companies could benefit from one another, particularly in the area of hosted / cloud phone systems. Mitel had already launched MiCloud, for example.

It would have been interesting to see what the marriage of two high quality hardware manufacturers might look like in conjunction with growing consumer demand for cloud based phone system solutions.

At Yeastar we are keenly aware of these market demands, and have positioned ourselves to be the flexible hardware based solution of choice for companies that are considering replacing their hosted or premise based solution with our new line of S-Series phone systems.

Our full concentration is on the heart of IP communication solutions, the PBX itself, and all of the functionality, accessibility, and features that a modern 21st century phone system demands.

These are highlighted, specifically in the context of a hosted phone system solution, and present an advantage to Yeastar dealers and customers in the following ways:

  • Flexible connectivity
  • Innovation
  • Financial benefit / lower costs
  • Manufacturer relationships
  • Tech support

Flexible Connectivity

To start with the obvious, folks without proper internet infrastructure (i.e. reliable business class up and down load speeds) can opt to outfit the Yeastar S-Series PBX, or MyPBX with an alternative to SIP Trunking by adding telephony modules to connect to FXO, BRI, GSM/CDMA/3G,  and E1/T1/PRI.

Both Yeastar dealers, and their customer’s can be confident that trouble shooting will not involve the expense and frustration of dealing with an ISP that doesn’t offer the right infrastructure to begin even entertaining the idea of customers using VoIP on their network.

Innovation

Research and Development into one specific area (phone systems and telephony gateways) gives our engineers and product designers many more cycles of development in which to create additional efficiencies, improve functionality of existing features, and continually provide updates with new features that dealers and customers of phone systems are demanding.

Financial Benefit / Lower Costs

Because of our focused concentration, our phone systems simply cost less.  Less than almost any other comparable premise based PBX.  Yeastar phone systems even cost less than hosted phone system companies that charge a per seat monthly subscription.

This frees up cash flow for telephony vendors to work on other related IT projects and by allowing them to complete a phone system deployment on time and under budget.

Objectivity in Manufacturer Relationships

We carefully pick the relationships we have with existing manufacturers of telephony products, and methodically update our phone systems to work with almost every IP phone and endpoint manufacturer in the industry including Polycom or Mitel phones.

We encourage and thoroughly test SIP trunking providers to join our interoperability program so that dealers and their customers have plenty of choice when it comes to a SIP trunking connection and a program for managing their SIP trunks.

Leading Support

Our high standards and rigorous testing policies in one focused area fosters an environment where our technical support team can easily determine solutions to problems and spend the time providing in depth answers to our community of dealers without them needing to contact distribution or deal with a technical support staff that is overwhelmed.

Our highly concentrated strategy, making the phone system as compatible and high functioning as possible for every environment, while maintaining ease of use for consumers and admins allows for the continued growth of our phone systems.

Yeastar phone systems are purpose built for today’s cost conscious cloud based demands that are flexible enough to handle any hardware merger or consolidation in the unified communication space. The name on your phone might change in the future but you can always rely on your Yeastar PBX to power it.

How to Use Call Recording to Monitor Calls for Training, Quality Control

$
0
0

Yeastar S-Series VoIP PBX can be set up to automatically detect every phone conversation made on your VoIP network. Just insert an external storage device, you can record all inbound and outbound calls free without charge.

Managing and monitoring call recordings offer your business several benefits including:

  • Training opportunities
  • Dispute resolution
  • Reviewing meeting notes, confirming order details
  • Compliance with regulations
  • Customer satisfaction

The ability to listen in to calls or play them back later is a useful feature for many types of organizations. Read on for more details.

Training Tool

If your company has a sales team, you know that training new team members can be challenging and time consuming. The ability to listen in on sales calls with new hires makes the process easier by turning every client and customer conversation into a teaching moment.

You can also keep recorded calls on file to provide real-world examples of what to do and what not to do. Say you have a tough question that customers repeatedly ask over the phone, keep call recordings that show how other salespeople handled that scenario.

Live call monitoring allows you to coach on the spot and guide the call so that there are no missed opportunities.

Dispute Resolution

Your best protection in a dispute with a customer is evidence.

With a call recording you don’t have to speculate. A review of the conversation in question can prove what actually happen and save you time by avoiding any he said, she said conflicting reports.

You’ll also be saving money trying to make a situation right if you can prove that your business didn’t over promise and under deliver. The ability to record calls can cut down on fraud, or at least prove that someone is trying to take advantage of your business.

Review and Confirmation

You know what happens in a conference call, people sometimes talk over one another as you’re furiously taking notes trying to document what was agreed upon. You then confer with colleagues after the call to confirm the details and even then, it’s not quite how you remember it.

With call recording you can just go back and listen to it again, on your own time. Hit pause to take notes and rewind it to hear something again. This way you don’t have to waste time and energy guessing what someone said.

The same goes for sales calls. You can avoid putting in the wrong order by listening to your call with the customer to confirm order details before anything ships out the door.

Regulation Compliance

Depending on what industry that you’re in, government agencies may mandate that you record phone calls for compliance with their regulations.

Check with your local, state, or federal laws to see if call recording is mandatory for your business.

Customer Satisfaction

Call recording and monitoring allows you to ensure that your company’s core values, code of conduct, and goals are being met by all associates in your organization.

Informing customers that calls are being recorded for quality purposes will give them peace of mind that they’re being taken care of and that they’ll have recourse if service doesn’t live up to their expectations.

Call recording can help your business become more efficient, serve your customers better, reduce liabilities by counteracting fraud and disputes, and increase conversion rates on sales calls.

With call recording and monitoring, your business will gain access to invaluable information to pinpoint issues in your business and provide you with a great way to properly train your employees so that they’re performing their best and keeping customers happy.

Time Conditions in Yeastar S-Series VoIP PBX

$

What is the Time Conditions used for?

You may want to route business calls to different destinations during different time, like working hours, holidays or even lunch time. Time Conditions in S-Series PBX is the feature to achieve that. Time Conditions is used to control call flow based upon time and date. On Time Condition page, you can create time groups. A time group is a list of times against which incoming or outgoing calls are checked. The rules specify a time range, by the time, day of the week, day of the month, and month of the year. Time Conditions can be assigned to an inbound route, which control the destination of a call based on the time. The destination could be Voicemail, Queues, IVR, Inbound Routes, etc. Time Conditions can also be assigned to an outbound route in order to limit the use of that route.

For example, you might create a Time Condition called “Lunch.” You would then select a Time Group that defines what time periods are “lunch,” and then indicate that calls that come in during lunchtime should go directly to voicemail, while calls that do not come in at lunchtime should ring the Front Desk.

Appropriate Time Conditions can not only make your business arrangement more effective and reasonable, but also avoid the situation missing an important call or ringing the Front Desk but nobody answer to cause a loss to company.

How do I use the Time Conditions?

  1. Add Time Condition

Go to Settings>PBX>Call Control>Time Conditions, click add-time-condition to add time condition.

add-time-condition-table

  • Name: give this Time Condition a brief name to help you identify it.
  • Time: this is where you will define a time range. You can define multiple ranges in the same time group by clicking time-condition-add.
  • Days of Week: select a week day, month day, and/or month range in which you want this time range to apply.
  • Advanced Options: this option is disabled by default. If it is enabled, you need to set the month and the day of the month. If it is disabled, it means that the time range defined above will apply to every day of the month, every month of the year.
  1. Add a Holiday

After you have defined your office time conditions, you may need to create a holiday time groups. For example, you want to create a Holiday for New Year’s Day, from January 1st to January 3rd.

Click add-holiday  to add a holiday. You can set by specific dates, or a specific day of the week in a specific month through the different type.

add-holiday-table

  1. Assigning Time Conditions to Inbound Routes

Path: Settings>PBX> Call Control>Inbound Routes, add a new route or edit the existing route.

The created Time Conditions will become available for selection in the Inbound Routes.

  • If you disable the Time Conditions in inbound routes, all calls will be routed to the “Destination”.

inbound-route-destination

  • If enabled, you can route calls to different destinations at different times. Calls that do not match the time periods will be routed to Other Time destination.

inbound-time-condition

The system will assign each Time Condition with a feature code, so you can use this code to force change of destination of a Time Condition and restore to its original destination.

Tips: you can use the feature code to forced switch the Time Condition, in the case like that you need to use Holiday condition in workday. So you don’t need to add a new time condition. After that, you can also use the feature code to restore it to your original setting.

  1. Assigning Time Conditions to Outbound Routes

You can also assign Time Conditions to outbound routes, which may help you to control the route that can be used. For example, you can limit the users to make outbound calls when your office is closed.

Path: Settings>PBX> Call Control>Outbound Routes.

Return Call to the Original Extension with AutoCLIP in Yeastar S-Series VoIP PBX

$

0

What is AutoCLIP in Yeastar S-Series VoIP PBX? Before answering it, let’s talk about return call. We often encounter this kind of situation that when we call back a number without the exact information about caller, we could not find the original extension that made the call. As the caller, especially for sales, you might lose a potential customer. AutoCLIP is ideal to solve the problem. It can redirect call to original extension.

The S-Series PBX automatically stores information about outgoing calls to the AutoCLIP routing table. When a person calls back, no matter the original call be answered or not, the call will be routed directly to the original extension (e.g. receptionist) that made the former mentioned outgoing call.

How do I use it?

Go to Settings>PBX>Call Control>AutoCLIP Routes to configure AutoCLIP:

autoclip-table

  • Record Keep Time: set the time duration for which records should be kept in the AutoCLIP List. Default is 8 hours.
  • Match Outgoing Trunk: if enabled, only the incoming call that came to the PBX through the same trunk which made the call will be match against the AutoCLIP List.
  • Member Trunks: choose the trunks, AutoCLIP Route will apply to the selected trunks.

Click View AutoCLIP List to view the records. In the AutoCLIP List you can see the record of the unconnected call.

autoclip-list

As the above figure shows, when the user (284288432) has a missed call and returns the call, he will be directly forwarded to extension 500 as shown in the AutoCLIP List.

Have you ever been bothered about creating a large number of extensions one by one, along with their settings and provisioning on the PBX system? Have you ever wondered if it is possible to effortlessly export and import all the extensions at once with a CSV file? Now Yeastar S-Series VoIP PBX allows you to easily achieve it and will help you save considerable time.

Yeastar S-Series VoIP PBX highly speeds up the process of extension configuration.

  • Export all your existing extensions to CSV file in seconds
  • Modify anything on each extension and re-import them
  • Create any number of extensions in a short time
  • Backup all extensions configuration regularly

Exporting Extensions

  1. Click the “Export” button on the PBX Extension Setting page should allow you to download the CSV of all your current extensions.
